What does ScanPlz do for a shop or bakery?

ScanPlz gives you a counter that sells and keeps stock in step, built for Nepal. A QR catalogue at the shelf shows customers your prices and photos on their own phone, with no app to install. Stock goes down as you sell, and batches with expiry dates sell first-in, first-out. Loyalty, coupons and vouchers are built in, so customers come back.

Which everyday problems does it fix?

  • Running out without noticing: you get low-stock alerts.
  • Goods expiring on the shelf: batches with expiry dates, and the first to expire goes first.
  • Price labels that don't match: the QR catalogue shows the current price on the customer's phone.
  • Not knowing your margins: record what items cost you, and reports show the margin.
  • Customers who buy once and don't come back: stamp cards, points and coupons bring them back.

What do you get?

Your catalogue on customers' phones

  • A QR code at the shelf or counter opens your catalogue in the phone's browser, on Android or iPhone, with no app and no sign-in.
  • Products with photos, sizes and options, and digital items, with your logo and colours.
  • A price change shows on every phone within moments, with no reprinting. Stock-tracked items show as out of stock when they run out.

At the counter

  • Shop sales, takeaway, delivery and pickup in the same system.
  • Payments recorded by staff: cash, card, eSewa, Khalti, Fonepay, ConnectIPS, IME Pay, bank transfer or store credit. Payments can be split.
  • Credit accounts (udharo) for your regular customers.
  • A cash drawer with opening float, money in and out, a counted close showing over or short, and a day-end report.
  • Voids need a reason and, for larger amounts, a manager's approval.

Stock

  • Stock per location, reduced automatically when a sale is completed (for the items you track).
  • Low-stock alerts, cycle counts, and transfers between branches.
  • Batches with expiry dates, with the first to expire used first.
  • Barcode lookup, and goods received from suppliers.
  • Recipe costing, so reports show your margins.
  • For bakeries: production runs from raw to finished goods, as an add-on.

Loyalty, coupons and promotions

  • Stamp cards ("buy 9, get the 10th free") and points with tiers. Staff find the customer by phone number or email, and the customer needs no app.
  • Coupon codes with use limits and expiry dates, and up to 500 single-use vouchers at a time.
  • Promotions, seasonal offers, featured items and buy-X-get-Y deals that start and stop by themselves. They can also show in "deals near me".
  • Birthday and win-back messages go only to customers who agreed to receive them.
  • Email to your own customers, in English or Nepali, with their consent recorded.

Feedback

  • Customers rate their visit by scanning a feedback code. You get an urgent alert when a customer is unhappy, and happy customers can be sent on to your Google review page.

For you, the owner

  • A daily summary every morning covering yesterday's sales, payment types, voids, best items and feedback, so you don't have to sign in and check the dashboard every day.
  • Reports covering purchases against stock against sales, margins, and sales by branch and staff member. Every report can be exported.
  • Owner-only alerts for unusual staff activity: voids, refunds or a cash difference.
  • Ready-made roles for owners, cashiers and finance, so each person sees only their own pages.

How is ScanPlz different?

  1. Stock that keeps up with the counter. Sales take stock down as they happen, and expiry dates decide what goes first.
  2. Built for Nepal. eSewa, Khalti, Fonepay, ConnectIPS and the other ways your customers actually pay are part of the product. Messages go to your customers in English or Nepali.
  3. Your catalogue on the customer's phone. Customers have nothing to install, and you have no labels to reprint when a price changes.
  4. It brings customers back, not just bills them. Loyalty, coupons, vouchers and messages to your own customers sit next to your sales.
  5. It closes the gaps where money leaks. Voids need a reason, the cash close is counted, and unusual activity alerts the owner only.
  6. You pay for what you use. There's no flat monthly fee, the first Rs 500 of every month is free, and a month never costs more than Rs 2,000.

What does it cost?

The team confirms the rates for your business.

  • New businesses: a 60-day free trial, with no limits.
  • Staff accounts: Rs 25 per staff account a month. The owner's account is free.
  • QR scans and orders: Rs 1 each. This is the maximum rate, and it can be adjusted.
  • Free every month: the first Rs 500 of your bill, covering everything. A month that comes to Rs 505 costs you Rs 5.
  • Monthly cap: you never pay more than Rs 2,000 in a month, everything included.
  • Included: all the features for shops and bakeries. Production runs for bakeries are an add-on.
  • Not in the current plan: IRD e-billing (VAT and PAN bills) and a website on your own domain. Both can be arranged on request.
  • Paying us: one bill a month for what you used, or credit topped up in advance, by eSewa, Khalti, Fonepay or ConnectIPS. Your usage never stops you selling.

What do we need?

  • Customers: their own phone. They need no app and no sign-in.
  • Shelves and counter: QR codes for your catalogue. We send you the codes ready to print.
  • Staff: the ScanPlz admin app on any phone or tablet.
  • Counter: thermal (ESC/POS) printers if you want printed receipts.

The ScanPlz team checks your current printers and sets up printing with you.

Who sets it up?

The ScanPlz team sets up your products the first time, and sends you your QR codes ready to print. You invite your staff by email or phone.

Trying it costs nothing upfront. Signing up at admin.scanplz.com is free, and new businesses get a 60-day free trial with no limits.

We already use another system. Can we keep it?

Keep what works, and add what you're missing. A billing system records what you sold. ScanPlz also keeps your stock in step and brings customers back. Here is what ScanPlz does that you may not have today:

  • A QR catalogue at the shelf, with current prices and photos
  • Stock that goes down as you sell, with low-stock alerts
  • Batches with expiry dates, sold first-in, first-out
  • Barcode lookup and goods received from suppliers
  • Margins, from what items cost you
  • Stamp cards and points, with no app for the customer
  • Coupons and single-use vouchers
  • Promotions that start and stop by themselves, and show in "deals near me"
  • Birthday and win-back messages to customers who agreed to them
  • A daily summary every morning, and owner-only alerts for voids, refunds and cash differences

Promotions and feedback can run from the QR code already at your shelf or counter, or on codes of their own, and loyalty cards have their own code. They all work alongside your current billing system. That makes them a natural place to start.

How does moving over work?

Start with one part, not everything. You can start with one counter or one outlet before moving the rest.

  1. A 30-minute demo using a catalogue like yours.
  2. Sign up free. The ScanPlz team sets up your products.
  3. The team checks your printers and sets up printing with you.
  4. Start with one counter or outlet.
  5. Put up your shelf codes.
  6. Move the rest when you're ready.

Can we export our reports?

Yes. Every report can be exported. You also get a daily summary every morning, so you don't have to sign in and check the dashboard every day.

Past sales and records from your current system don't move into ScanPlz, so keep them where they are.

Does ScanPlz issue VAT and PAN bills?

IRD e-billing (VAT and PAN bills for the tax office) isn't in the current plan, and neither is a website on your own domain. Both can be arranged on request: tell us, and the team will talk it through with you.

What if the internet drops?

ScanPlz works online. If the connection drops for a while, staff screens reconnect and catch up on the orders and calls they missed. If your internet is unreliable, tell us and the team will look at your setup.

What doesn't ScanPlz do today?

We'd rather you hear this now than find out later:

  • large imports of products or stock from a file;
  • purchase orders to suppliers;
  • customers paying inside the catalogue (staff record payments today).

If one of these matters to you, tell us and we'll pass it to the team.

What happens to our data?

  • Each business's data is kept separate, and staff see only what their role and branches allow.
  • Staff accounts are protected: optional two-step sign-in, an email when someone signs in from a new device, accounts that lock after too many wrong passwords, and an activity log of what staff did.
  • Customers' consent is recorded for each purpose. Every marketing message carries an unsubscribe link. Customers can download their loyalty data, and their personal details can be erased on request.

For questions about hosting, contracts or a data agreement, the team will answer directly.

How do we see it working?
