What does ScanPlz do for a restaurant or café?

Restaurants are one of the fastest-growing businesses, and one of the most likely to fail: margins are thin and costs are high. ScanPlz is more than a QR menu. It runs your restaurant or café from one platform, built for Nepal, and helps you bring guests back and stop money leaking. A QR code on each table opens your live menu on the guest's own phone, with no app to install. Guests order from their seat and ring for staff with a call bell on their phone, with no buzzers to install. Feedback tells you how each visit went, and promotions and loyalty give guests a reason to return. The kitchen gets tickets by station, and the day closes with a counted cash close and a sales report.

Which everyday problems does it fix?

  • Guests waiting to order, or waving for the bill.
  • Orders lost between the floor and the kitchen.
  • Printed menus with old prices and dishes that have sold out.
  • Cash that doesn't match at the end of the day.
  • Feedback that never reaches the owner.
  • Guests who come once and never come back.

What do you get?

Your menu on your guests' phones

  • A QR code on each table opens your menu in the phone's browser, on Android or iPhone. Guests need no app and no sign-in.
  • One code does the work of several. The same table code can open your menu, a promotion or your feedback form, whichever you choose, for one table, an area or the whole restaurant. Change it any time, with nothing reprinted.
  • Your menu in your guests' languages. Add Nepali, Hindi, Chinese, Korean or any language you need, translate with ChatGPT's help or by hand, and guests read the menu in their own language.
  • The menu has photos, sizes, options and add-ons, allergens and dietary details. It carries your logo and colours, in one of five layouts.
  • Change a price or switch off a dish once, and every phone shows it within moments, with no reprinting. Stock-tracked items show as out of stock when they run out.
  • Each scan also shows your WiFi details, social pages, review link, phone and opening hours.

Ordering from the table

  • Staff open the table, or seat a walk-in party. Guests at that table then order from their own phones and add rounds through the meal.
  • Staff can also take orders on a phone or tablet: dine-in, takeaway, delivery and pickup.

The call bell, on the guest's phone

  • A tap replaces a wave. Guests get up to four bell buttons you choose, such as the waiter, the bill, water, cutlery or WiFi help.
  • The call goes to the phones and tablets of the staff covering that area, and the guest sees when someone has acknowledged it.
  • If no one from that area is online, owners and admins get the call instead.
  • There are no table buzzers, bell units or receivers to buy, fit or charge. The bell is part of the QR code already on the table.

Kitchen and floor

  • Each round prints once as a kitchen ticket, split by station (kitchen, bar, cold section). Courses can be held and fired later.
  • A kitchen screen shows each order's status: confirmed, preparing, ready or served.
  • Staff can seat walk-ins, mark tables occupied or free, move a check to another table or waiter, and merge or split checks.

Payments and the day's close

  • Staff record payments: cash, card, eSewa, Khalti, Fonepay, ConnectIPS, IME Pay, bank transfer or store credit.
  • Credit accounts (udharo) for your regular customers.
  • Bills split equally, by amount, by item or by seat, and tips are tracked separately.
  • The cash drawer records the opening float and money in and out. The day ends with a counted close showing over or short, and a day-end report.
  • Voids and complimentary items need a reason, and a manager's approval for larger amounts.

Feedback

  • Guests rate their visit by scanning a feedback code, and you see which table it came from.
  • You get an urgent alert when a guest is unhappy. Happy guests can be sent on to your Google or TripAdvisor review page.
  • Feedback arrives in an inbox where you can assign it, add notes and reply using templates. A guest report comes every Monday morning.

Promotions, coupons and vouchers

  • Run happy hours, meal-time deals, seasonal offers, featured dishes and packages. They start and stop by themselves on the days and times you set.
  • Discounts can be a percentage, a fixed amount, buy-X-get-Y or a free item.
  • Offers show as a pop-up on the menu, at the table, by link, or in "deals near me".
  • Issue coupon codes with use limits and expiry dates, and single-use vouchers. Reports show how each promotion performs.

Loyalty and messages

  • Stamp cards ("buy 9, get the 10th free") and points with tiers. Staff find the guest by phone number or email, and the guest needs no app.
  • Birthday and win-back messages, and reminders before points expire, go only to guests who agreed to receive them.
  • Email to your own customers, in English or Nepali, with their consent recorded.

For you, the owner

  • A daily summary every morning covering yesterday's sales, payment types, voids, best items, speed, feedback and staff calls, so you don't have to sign in and check the dashboard every day.
  • Reports by staff member and area, order speed by stage (accepting, cooking, serving, paying), and the slowest orders. Every report can be exported.
  • Margins, when you record what your dishes cost you.
  • Stock per location, with low-stock alerts.
  • Owner-only alerts for unusual staff activity: voids, refunds or a cash difference.
  • Ready-made roles for owners, waiters, kitchen and cashiers, so each person sees only their own pages.
  • More than one branch? Each has its own prices, hours and staff, all under one login.

How is ScanPlz different?

  1. Built for Nepali restaurants. eSewa, Khalti, Fonepay, ConnectIPS and the other ways your guests actually pay are part of the product. Messages go to your customers in English or Nepali, and guests can read your menu in their own language.
  2. No extra hardware at the table. The guest's own phone is your menu and your call bell. There's no app for guests, no table buzzers or bell units to buy, and no menus to reprint.
  3. A live floor and kitchen, not just a till. Calls reach the waiter covering that table, and tickets reach the right station.
  4. It closes the gaps where money leaks. Voids and complimentary items need a reason, the cash close is counted, and unusual activity alerts the owner only.
  5. It brings guests back, not just bills them. Feedback, promotions, loyalty and messages to your own customers sit next to your sales.
  6. You pay for what you use. There's no flat monthly fee, the first Rs 500 of every month is free, and a month never costs more than Rs 2,000.

What does it cost?

The team confirms the rates for your business.

  • New businesses: a 60-day free trial, with no limits.
  • Staff accounts: Rs 25 per staff account a month. The owner's account is free.
  • QR scans and orders: Rs 1 each. This is the maximum rate, and it can be adjusted.
  • Free every month: the first Rs 500 of your bill, covering everything. A month that comes to Rs 505 costs you Rs 5.
  • Monthly cap: you never pay more than Rs 2,000 in a month, everything included.
  • Included: all the features for restaurants and cafés.
  • Not in the current plan: IRD e-billing (VAT and PAN bills) and a website on your own domain. Both can be arranged on request.
  • Paying us: one bill a month for what you used, or credit topped up in advance, by eSewa, Khalti, Fonepay or ConnectIPS. Your usage never stops you taking orders.

What do we need?

  • Guests: their own phone. They need no app and no sign-in.
  • Tables: a QR code on each table. We send you the codes ready to print, and there are no bells or buzzers to buy.
  • Staff: the ScanPlz admin app on any phone or tablet, signed in during service.
  • Kitchen: the kitchen screen, or thermal (ESC/POS) printers if you want printed tickets and receipts.

The ScanPlz team checks your current printers and sets up printing with you.

Who sets it up?

The ScanPlz team sets up your menu the first time, and sends you your QR codes ready to print. You invite your staff by email or phone.

Trying it costs nothing upfront. Signing up at admin.scanplz.com is free, and new businesses get a 60-day free trial with no limits.

We already use another system. Can we keep it?

Keep what works, and add what you're missing. A billing or point-of-sale system records what you sold. ScanPlz also helps you hear from your guests and bring them back. Here is what ScanPlz does that you may not have today:

  • Guests ordering and adding rounds from their own phone, with no app
  • A call bell on the guest's phone, with no buzzers to install, going to the waiter covering that table
  • Kitchen tickets split by station, with courses held and fired later
  • Feedback from each table, and an urgent alert when a guest is unhappy
  • Happy guests sent on to your Google or TripAdvisor review page
  • Happy hours and meal-time deals that start and stop by themselves
  • Coupons and single-use vouchers, with a report on each promotion
  • Stamp cards and points, with no app for the guest
  • Birthday and win-back messages to guests who agreed to them
  • A daily summary every morning, and owner-only alerts for voids, refunds and cash differences

Feedback and promotions can run from the QR code already on your tables, or on codes of their own, and loyalty has its own code. They all work alongside your current billing system, and they can cover the whole restaurant or one area, not only one table. That makes them a natural place to start.

How does moving over work?

Start with one part, not everything. Signing up creates your first branch, area and table, and the admin app shows when each area is ready. You can try ScanPlz in one area, such as the rooftop or the counter, before moving the rest.

  1. A 30-minute demo using a menu like yours.
  2. Sign up free. The ScanPlz team sets up your menu.
  3. The team checks your printers and sets up printing with you.
  4. Try one area with your own staff.
  5. Go live: codes on the tables, tables opened, first orders taken.
  6. Move the rest when you're ready.

Can we export our reports?

Yes. Every report can be exported. You also get a daily summary every morning, so you don't have to sign in and check the dashboard every day.

Past sales and records from your current system don't move into ScanPlz, so keep them where they are.

Does ScanPlz issue VAT and PAN bills?

IRD e-billing (VAT and PAN bills for the tax office) isn't in the current plan, and neither is a website on your own domain. Both can be arranged on request: tell us, and the team will talk it through with you.

What if the internet drops?

ScanPlz works online. If the connection drops for a while, staff screens reconnect and catch up on the orders and calls they missed. If your internet is unreliable, tell us and the team will look at your setup.

What doesn't ScanPlz do today?

We'd rather you hear this now than find out later:

  • guests paying inside the menu (staff record payments today);
  • guests booking a table online by themselves (they still call or walk in).

If one of these matters to you, tell us and we'll pass it to the team.

What happens to our data?

  • Each business's data is kept separate, and staff see only what their role and branches allow.
  • Staff accounts are protected: optional two-step sign-in, an email when someone signs in from a new device, accounts that lock after too many wrong passwords, and an activity log of what staff did.
  • Customers' consent is recorded for each purpose. Every marketing message carries an unsubscribe link, and a customer's personal details can be erased on request.

For questions about hosting, contracts or a data agreement, the team will answer directly.

How do we see it working?
